The 2016 Men's 12- and Women's 6-stage South of England Road Relay Championships

To be held at Stantonbury Stadium, Milton Keynes on Sunday 20 March 2016.

 

Marshall Milton Keynes Statement on 2 February 2016

 

I very much regret to inform you that this event will not now happen. There simply is not enough time to organize the necessary road closure (four weeks notice has to be given in the local press) and nothing has yet been done to seek the necessary consent. I will explain why.

 

I met with two representatives from the SEAA at the beginning of December, at which we agreed the terms of a contract between Marshall Milton Keynes AC and the SEAA. This year the SEAA would take the online entries using their new system and check that all the athletes were registered before passing on the data for MMK to generate the programme and set up the results program. The meeting was very amicable but the contract that turned up three days later was different in several respects from what had been agreed at the meeting. In particular the SEAA “levy” per team was considerably higher than had been agreed. I sent the SEAA an outline of the costs involved in hosting the event and pointed out that the club only just broke even in 2015. I informed them I would not begin work on the relays until the contract had been agreed.

 

On 21 January the SEAA decided to honour what had been agreed at the beginning of December and sent me a revised contract. In the meantime, having heard from others about the difficulties of working with the SEAA, I added three extra clauses – two to confirm matters that had been agreed in December, and one to ensure that the money required to meet the expenses of the event, were dispatched to the club in good time. You can view the signed document that I forwarded to the SEAA on 22 January. I gave them a deadline of 1 February to return a copy to me signed by the SEAA, so that the event could go ahead. That deadline has now passed without any contract agreed by both sides, and the event is consequently cancelled.

 

I very much regret that an event which for some athletes is the highlight of their winter season will not take place.

Postscript: I now understand that the delay in sending me a contract was because the SEAA were trying to decide how much they would charge (over and above the levy) for processing the online entries. This has never been discussed and is, frankly, outrageous. Other promoters working with the SEAA should take note.
